Allocation templates

Save allocations whose split stays the same.

What it does

Templates for expense or profit allocations where only the amounts change, such as marketing costs by percentage.

When you need it: The same marketing split every quarter.

How it works

  1. Open Financials › G/L Allocation Posting Templates and give the template a "Code" of up to eight characters and a "Template Description".
  2. In the top table, enter the G/L account and currency, and a debit for an income allocation or a credit for an expense allocation. In a company with branches, add the "Branch Code".
  3. In the lower table, list the receiving companies by "IC Branch Code" (or with "Load All Branches") and give each an "Allocation %". A row may also name the "Allocation Account" to post to in that receiver, and a "Receiver Branch Code" where the receiver uses branches.
  4. Choose "Add" to keep the template.
  5. Later, in the "G/L Branch Allocation" window, choose the "Template Type" and then the "Template", so the split is taken from the template and only the amounts differ from one allocation to the next.

Set it up

A template posts through the same accounts as any G/L allocation: in each company, the accounts for amounts owed to and by the other companies, kept in Administration › Setup › Intercompany › Branch Accounts Setup, and the default or classified accounts of each receiver. The lower table holds percentages, which together may not exceed 100. Project, distribution rule and dimensions can be set per row, in both tables. Pick codes that people will recognise, since the code is what they choose from in the "Template" list.

Since: Version 50 (November 2023): the templates window responds faster. Version 54 (April 2025): a choose-from-list button on the "Template" field of "G/L Branch Allocation".

Good to know

  • Removing a template (Data › Remove, then confirm) cannot be undone.
  • An allocation account named in the template takes the place of the receiver's default expense or income account; the intercompany receivable and payable postings stay as they are.
  • From 2.0 PL30 the lower table may also name branches of the sender's own company, where that company runs multiple branches.
  • For a split that must be posted on a timetable, use "Recurring G/L Allocation Postings" instead: it adds a frequency and dates.
