Each customer's balance with the whole group

Every business partner's balance with every company, in one report.

What it does

Balances for all global business partners, per company or summed.

When you need it: The credit team sees one customer's total exposure.

How it works

  1. Open Business Partners › Business Partner Reports › Consolidated Balances by Business Partner.
  2. Set the "Type" to customers or vendors. Give a range in "Code" for particular partners, or leave it empty for all of them.
  3. Choose the "View". The summary adds up each partner's balances over all branch companies into one line; the detail lists the balance the partner holds in each company separately.
  4. Choose "OK", then "Refresh", to read the balances live from every company database.
  5. For a quick look without the report, open the partner's "Business Partner Master Data" window. Its "General" tab carries "Consolidated Account Balances", "Consolidated Delivery Balances" and "Consolidated Order Balances", all read-only.

Set it up

The report itself needs no setting. The three fields on the master record are filled by a scheduled job. Open the Intercompany Administration Console, go to Preferences and pick "BP Balances Scheduling" in the left frame. Set "Run" to daily or weekly (with a weekday), choose the hour and minute, and choose "Schedule". "Current Status" tells you whether it is active; "Cancel" stops it. To bring the fields up to date at once, open Administration › System Initialization › General Settings, tab "BP", and choose "BP Balances Sync".

Good to know

  • Only business partners marked "Global Business Partner" are included.
  • The job runs on the system clock of the machine that hosts the SAP Business One Integration Server.
  • After an upgrade of the Integration Solutions Installer, the BP balances schedule has to be configured again on the Preferences page.
  • The cockpit in the Administration Console has a "BP Balances Scheduling" tile that shows whether the schedule is configured and opens its screen.
  • In the customer summary shown in our knowledge article, each line also carries the group credit limit and the limit that remains.
