One credit limit for the whole group

Sales documents are checked against the customer's balance in every company.

What it does

The group's exposure, checked on every sale

When a sales document is added, Intercompany adds the customer's balances in all companies and compares the sum with the group credit limit. Over the limit, it stops the document and shows a warning.

When you need it: A customer at its limit in one company cannot run up debt in another.
Sales order · credit check
CompanyCustomer balance
Sample Group GmbH · DE40,000
Sample Group Pte Ltd · SG25,000
Sample Group Inc. · US30,000
Group balance95,000
Group credit limit90,000
Stopped: the sales order would pass the group credit limit.

How it works

  1. Give the customer a group limit. In the "Business Partner Master Data" window, tab "Payment Terms", fill in "Consolidated Credit Limit" and choose its "Currency Code".
  2. Switch the check on. Under Administration › System Initialization › General Settings, tab "BP", select the "Consolidated Credit Limit" check box.
  3. Tick the documents it should guard: "Sales Order", "Delivery" and "A/R Invoice".
  4. When a user adds one of those documents, Intercompany takes the consolidated account balance of that customer and adds the amount of the new document.
  5. If the sum is above the consolidated credit limit, the check restricts the document and shows the consolidated credit limit warning.

Set it up

Both parts are needed: the limit on each customer and the check box with its document types in the general settings. The limit can be set only for global business partners of the customer type. Because the check works with the consolidated account balance, set up the BP balances schedule as well (Administration Console, Preferences, "BP Balances Scheduling"), so the balance it uses is current.

Good to know

  • The consolidated account balance is the group figure the schedule writes to the master record, shown read-only on its "General" tab. "BP Balances Sync" on the "BP" tab refreshes it at once.
  • The check covers only the three document types above; sales quotations are not among them.
  • The consolidated balances report shows, per customer, the group limit next to the balance and the limit left.
