Documents still waiting in the other company

Incoming documents not yet accepted and posted.

What it does

Lists pending incoming documents, including return requests, that wait for the receiving company.

When you need it: Nothing is left unposted at month-end.

How it works

  1. Open Financials › Financial Reports › Un-posted Intercompany Transactions.
  2. In "Code" choose the companies you want to look at, or leave it empty for all.
  3. Choose "OK", then "Refresh".
  4. The report groups what is waiting by receiving company, in two lists: marketing documents sent by another branch company, and journal vouchers raised by G/L allocations. Each line names the sender company and document, the amount and the status.
  5. To clear a line, the receiving company opens the document or journal voucher and sets its status to "Accept", which posts it, or to "Reject".

Set it up

Whether incoming items wait at all is set under Administration › Setup › Intercompany › General Settings. "Default Status for Marketing Documents" and "Default Status for Journal Voucher" come preselected as "Accept"; set "Pending" where the receiving company should review before anything is posted. Pending items then show in this report until someone decides on them.

Since: Version 53 (November 2024): return requests still waiting to be posted, from the "Goods Return Request" to "Return Request" cycle, are listed too.

Good to know

  • The cockpit in the Administration Console shows the same backlog as two tiles, "Unposted Marketing Document" and "Unposted Journal Vouchers", each a count across all participating companies that opens the detail on a click. Its data follows the schedule set under Preferences, "Cockpit Scheduling".
  • A separate report, Reports › Intercompany › Intercompany Transaction Report, logs every outgoing and incoming intercompany transaction. It does not prove that a document arrived; the Message Log shows that.
