Intercompany trade

Country-specific documents between your companies

Correction invoices for Russia and debit memos for Chile, Costa Rica, Guatemala and Mexico are mirrored too.

What it does

Correction invoices and their reversals become A/P correction invoices and reversals in the other company (Russia). A/R debit memos become A/P debit memos (Chile, Costa Rica, Guatemala, Mexico). The same links and approvals apply as for the other documents.

When you need it: A group with a Mexican company issues a debit memo to its US sister: the US company receives the A/P debit memo.

How it works

  1. A company on the Russian localisation adds an A/R correction invoice addressed to the customer record of a sister company. Intercompany creates a draft "A/P Correction Invoice" there.
  2. If the correction invoice is later reversed, the "A/R Correction Invoice Reversal" travels the same way and arrives as a draft "A/P Correction Invoice Reversal".
  3. A company on the Chilean, Costa Rican, Guatemalan or Mexican localisation adds an A/R debit memo for a sister company. A draft A/P debit memo appears on the other side.
  4. The receiving user opens the draft. Its "Intercompany" tab shows the sender's document number, total and owner, and the draft is accepted or rejected like any other intercompany document.

Set it up

These pairs need the same groundwork as the rest of trade: branch partners in each company, and the business cycle switched on in each company's template (Setup › Company Template in the Administration Console). The localisation is chosen when a company template is loaded; Mexico, Chile, Guatemala, Costa Rica and Russia are among the localisations Intercompany supports. Where the receiving company works with branches, choose the "Receiver Branch" on the sender's document; the receiver's draft is created for that branch.

Good to know

  • When the receiver adds an A/P debit memo, an A/P correction invoice or a correction invoice reversal, its total is compared with the sender's and any gap is reported.
  • Direct creation as a firm document is offered for the debit memo pair. The correction invoice pairs are not in that list.
  • With the block on unconfirmed base documents switched on, the sender cannot copy an A/R correction invoice onward into a further correction invoice or a reversal, nor base one on an A/R invoice, until the other company has confirmed the base document.
