Serial and batch numbers carried across

The serial and batch numbers on a delivery arrive with the goods receipt in the other company.

What it does

Serial and batch numbers of the sender's document are copied to the matching document in the receiving company, so traceability does not stop at the company border.

When you need it: A distributor needs the factory's batch numbers for a recall.

How it works

  1. The item is set up for serial or batch management in its item master. In the default company template, the item properties that switch on serial and batch management are marked for replication, so the setting travels with the item to the receiving companies.
  2. The sending company adds an intercompany document, such as a delivery, with the serial or batch numbers picked on its lines.
  3. Intercompany carries those serial and batch numbers to the document it creates in the other company, such as the goods receipt PO.
  4. User-defined fields on the batch number object can travel as well, on deliveries, A/R invoices, goods returns, A/P credit memos and A/R correction invoices sent to a sister company.

Set it up

To give several companies the same serial and batch settings, use the Administration Console: Setup › Copy Intercompany Setups, choose a source company and the target companies, and in the step "General Setting - Serial Number and Batch Management" tick the boxes you want and choose "Save". Key mapping must be finished before this copy runs. Replication of user-defined fields is set up separately, as the administrator's guide describes.

Since: Version 2.0 PL 23 (June 2017): the serial and batch step in Copy Intercompany Setups, so the settings are made once and copied.

Good to know

  • For intercompany service management, the serial number uniqueness setting must be the same in every company: Administration › System Initialization › General Settings › Inventory.
  • One known limit: when a goods receipt PO comes from an A/P reserve invoice and holds serial-managed items in warehouses that use bin locations, its status does not reach the matching delivery in the other company.
