Intercompany trade
Stop work on documents not yet approved
Users cannot copy from a document that the other company has not yet approved.
What it does
Intercompany can block "copy to" and "copy from" while the base document waits for the other company's approval. Invoices then follow only deliveries the other company has confirmed.
When you need it: The factory cannot invoice a delivery until the sales company has booked the goods in.
How it works
- Company B adds a delivery for company A, and company A receives a draft goods receipt PO from Intercompany.
- Until a user in A adds that draft, the "Confirmed" box on the "Intercompany" tab of B's delivery stays empty.
- While it is empty, users in B cannot copy the delivery to an A/R invoice, nor copy an A/R invoice from it.
- Once A adds the goods receipt PO, the box is ticked and B can invoice from the delivery.
- The same check guards the reserve invoice and correction invoice paths: from an A/R reserve invoice onward to a delivery or a correction invoice, from one A/R correction invoice onward to another or to its reversal, a delivery copied from either kind, and a correction invoice copied from an A/R invoice.
Set it up
In Administration › Setup › Intercompany › General Settings, the box "Block Creation of Intercompany Marketing Documents until Base Document Confirmed" turns the check on. It is ticked by default; clear it if the sender may copy before the other company confirms. The setting is made in each company, or copied from one company to others with Copy Intercompany Setups.
Good to know
- The block applies to users of the sending company, and lifts as soon as the receiver posts its draft.
- Separately, some copy paths are always closed on intercompany documents. For example, down payment requests and down payment invoices cannot be copied to or from other documents, and a goods receipt PO cannot be copied from a purchase order.
- To see what is still waiting, run the un-posted report under Financials › Financial Reports › Un-posted Intercompany Transactions; it lists intercompany documents the receiving companies have not yet posted.
