Drafts or firm documents: your choice
Choose which intercompany documents arrive as drafts and which are created firm.
What it does
For each document type, decide whether the receiving company gets a draft to check or a firm document. Firm sales quotations and return requests can be created directly.
How it works
- By default, the receiving company gets each incoming document in draft form, and a user there checks and adds it.
- Tick "Direct creation of Firm Marketing Document" in the general settings and the receiver gets a firm document instead.
- Choose the browse button beside the box to pick which pairs are created firm. The button works only while the box is ticked, and ticking any pair ticks the box.
- For a pair marked firm, the firm document is created only when the receiver's document total matches the sender's, and the receiving company must have a tax code on the document.
- Pairs that can be created firm start from purchase quotations, purchase orders, deliveries, A/R down payment invoices, A/R invoices, A/R reserve invoices, goods returns, goods return requests and A/R debit memos, plus credit memos in either direction.
Set it up
The box and the pair list sit in Administration › Setup › Intercompany › General Settings. After an upgrade, a company that already had the box ticked finds every pair in the list ticked. Like the other general settings, it has to be set in every branch company.
Since: Version 48 (June 2023) made the pairs selectable one by one; version 53 (November 2024) added firm sales quotations and return requests; version 54 (April 2025) added notes on the screen that state the conditions for a firm document.
Good to know
- Correction invoices and their reversals are not among the pairs that can be created firm.
- Drafts belong to the B1i user; choose that user in the Draft Documents window to see them.
- Set up tax code determination in the receiving company so the firm document has its tax code.
