Service contracts and equipment cards across companies

A sales company and a service company share customer equipment cards, service contracts and contract templates.

What it does

The three service objects are copied according to each company's role: sales, service, or both.

When you need it: The sales company sells a machine; the service company sees its equipment card and contract.

How it works

  1. In the Administration Console choose Setup › Landscape, open each company's details and set "Operation" to "Sales", "Service" or "Sales and Service".
  2. Save and deploy the solution.
  3. In a sales company, or a sales and service company, add a contract template, a customer equipment card or a service contract as usual.
  4. Intercompany copies the record to every company set to "Service" or "Sales and Service".
  5. A record created in a company set to "Service" alone is not sent to any other company.

Set it up

The "Operation" field sits in the company details of the landscape, next to the company type and template. It may be left empty, but it should not be; consolidation companies need no operation. To share the three objects among all companies, give every company "Sales and Service". The rule for serial numbers set under Administration › System Initialization › General Settings › Inventory must match in all companies.

Since: Version 50 (November 2023): the three service objects can also be copied through the SAP Business One Service Layer.

Good to know

  • Only cards and contracts on the customer side are copied; those of purchasing type, for vendors, are not.
  • User-defined fields on the equipment card header can be copied as well, once registered for replication.
