Master data replication
Users and user groups, managed in one company
Create SAP Business One users and user groups once and copy them to every company.
What it does
User master data and user groups (by role: sales, accounting, managers…) are replicated, so settings by role are the same everywhere.
When you need it: A new accountant gets the same user and group in all five companies.
How it works
- In the company template, switch on "User Groups" and "User Master"; neither is copied by default. Assign the template to the companies in the landscape.
- Create or change user groups, set up by role, and users in the company that manages them.
- Intercompany copies them to the other companies.
- For a group, the name and description go, with start date, due date and type. For a user, the code, name and superuser flag are required, and email, mobile, language, fax, branch, department and group membership go by default; discount and cash limits are left out unless you tick them.
Set it up
Both objects sit in the company template like any other master; choose the fields in "Receiver Property List".
Since: Version 47 (February 2023): users and user groups copied from one company. Version 51 (February 2024): both can also go through the SAP Business One Service Layer.
Good to know
- Taking a user out of a group in the source company is not passed on.
- Creating a user again with a user code used before can raise a DI API error.
- If you import a custom language with the SAP Custom Language Tool, user master replication cannot be used for now, because the DI API cannot update such users.
