Master data replication
More than 80 kinds of master data, shared
Items, business partners, price lists, currencies, payment terms and much more, kept the same across the group.
What it does
Lists the master data by group: financial (currencies, exchange rates, projects, distribution rules, banks, payment methods…), business partners (groups, payment terms, special prices, countries…), items (groups, units of measure, discount groups, price lists, manufacturers…), service, and general data (freight, sales employees…).
How it works
- Smaller lists such as currencies, payment terms, units of measure or freight follow the company template: once one company sends an object and the others receive it, each new or changed record is copied.
- The four large objects are shared record by record. Tick "Global Item" on an item, "Global Business Partner" on a partner, "Global BOM" on a bill of materials, and set "Global Price List" to Yes on a price list.
- Intercompany then copies each global record to the branch companies, or only to the branches named in its distribution template.
- Prices that rest on combinations are sent when you ask: in the "Synchronize Special Prices" window, press the button for period and volume discounts, partner special prices or discount groups.
- Exchange rates work the same way: press "Sync" in the "Exchange Rates and Indexes" window, give a from and to date, and the rates of those days reach the other companies, consolidation companies too.
Set it up
Under Administration › Setup › Intercompany › General Settings, new items and business partners can be marked global as they are added. For existing records, use the Intercompany Implementation wizard in the Administration menu, windows "Set Item to Global Item" and "Set BP to Global BP": each window lists the records that are not yet global, and the ones you tick are flagged and copied. Which further objects travel, and with which fields, is decided in the company template.
Since: Version 50 (November 2023): the currencies picked in a business partner's "All Currencies" list are copied too. Version 57 (September 2026): business-partner catalog numbers are copied.
Good to know
- The global flag works one way: once set on any of these four records, it cannot be cleared.
- A global price list that is based on another list needs that base list to be global as well. After the first copy, the prices of global items on global lists travel with the item itself.
- Special prices and period and volume discounts are sent only for global items on global price lists, and special prices only for global business partners.
- The administrator's guide lists the objects for every localisation, plus extra lists for Brazil and for India alone. G/L accounts, users and user groups are on the list but are off until you switch them on.
- When a sub-record is deleted in the sender, such as a barcode or preferred vendor of an item, the deletion is not passed on.
